Artist Process & Client Experience
After much reflection and time spent synthesizing feedback, please see the updated process on how the client experience will flow as a customer of Bouquet & Frame Floral Preservation. The process of floral preservation and client experience has evolved much over the past 5 years of this business, and we believe that all of the steps of the process below will allow for a smooth and happy client experience and a structured artist’s timeline.
Here is everything you can expect from the timelines and creative process from both the client’s perspective and the artist’s perspective:
Client Experience
Step 1: Connection & Initial Consultation
Please don’t hesitate to connect with the team at Bouquet & Frame through whatever platform you find us. We will ask you to book a formal initial consultation appointment on our appointments page (here is the link if you want to do that now). We are unable to accommodate any clients who do not book a consultation to accompany a purchase.
For the consultation, it would be helpful if you could review the images of previous artworks we’ve made to find the style you would like to see in your own artwork. Here is a link to a product gallery with lots and lots of studio pictures.
If you have pictures of your flowers at the ready or any kind of floral recipe for what you’re expecting in the future, please share all of that with us prior to or during this consultation!
Artist Process
Step 1: Connection & Initial Consultation
During our first connection, we will share the link to book a formal consultation conversation, which is where we will discuss the following:
The products available and the differences between them
What kind of flowers the client is expecting, and which products they would be best suited for
Composition options, and we will explore the client’s design preferences
The steps of the process we follow to preserve your flowers
the client experience, what we can and can’t make for clients
Any outstanding questions you may have
Client Experience
Step 2: Creative Contract & Order Placement
After your initial consultation, we invite you to place your order here on the website. All orders must be made through the website. When you click ‘add to cart,’ a form will pop up. This form will be our formal creative contract. Please fill it out to the best of your ability with the most information you have available to you. A form will pop up for every item you want to order. This may seem like a lot, but it is necessary to help me make the best work possible for you.
Once you submit this form, you will have access to your shopping cart, pay, and submit your order. The moment you click submit, you should receive an email confirmation with a copy of your creative contract and your order number. Keep this for your files - this will be the only confirmation needed to confirm we are working together.
If you don’t get an email confirmation, that is a problem. Please check your junk folders to see if it went there, or call us at (613) 316-2576, and we will go into our files and see if the confirmation may have gone to the wrong email. Sometimes, clients who use auto-fill have their confirmation sent to an unexpected email address.
Once we formally receive your order, it is essential to book a floral drop-off appointment. See the next step to learn how to book and what this is.
Artist Process
Step 2: Creative Contract & Order Placement
If you need support placing your order, we can hop on a call and discuss the creative contract and answer any questions.
The moment your order is successfully placed, we will receive an email confirmation, a text message confirmation, and an app notification. It may seem like overkill, but we like it :)
When we have your order information, we take necessary measures to ensure we have the appropriate inventory of materials to make your project when we receive your flowers.
Once we formally receive your order, it is essential to book a floral drop-off appointment.
Client Experience
Step 3: Floral Drop-Off Appointment or Prepare to Ship Flowers
After your order is placed and you have received an email confirmation with your order number and a copy of your creative contract, please click here to book a floral drop-off appointment. For wedding flowers, please book the appointment for the Monday after your wedding. For all other flowers, please book an appointment in our schedule at your earliest convenience. When dropping off your flowers, please follow these instructions:
Please take a picture of the flowers and text the picture to (613) 316-2576
Please bring the flowers to 218 5th Ave, Ottawa, Ontario, K1S2V6
Please remove all pins, charms, and other small treasures from the flowers
Please label your flowers with your NAME and ORDER NUMBER
When you drop your flowers off, we will ensure that everything is in order, and if you have questions or new requests or if you would like to augment your order, we can help with all of that.

Artist Process
Step 3: Floral Drop-Off Appointment or Prepare to Ship Flowers
When you come to drop off your flowers, the studio team will have the materials needed to process them ready and waiting. When your flowers arrive at the studio, we will inspect them and ensure we have enough for your requested items. We will then go over your questions, and the meeting will end with us booking your virtual project review appointment.
After your appointment is booked and you leave, we will label your flowers, take them apart, process the petals and stems and carefully store any other items (such as photographs or invitations) in a bin with your name and order number on it.
From there, we will be working for the next 3 or so months to reconstruct your flowers petal by petal and to create a meaningful composition for you.
Client Experience
Step 4: Virtual Project Review
After the floral drop-off appointment, there won’t be much communication. You can expect to connect with the lead artist to review your project status and the progress on your composition during your virtual project review. During this meeting, we will go over how the project is unfolding, you will review the composition we have created, and you can provide feedback. We will review your initial order and make sure you are still happy with what you wanted, and if you have had any changes of heart, we can discuss that and try to put that into effect. If you approve the composition mock-up(s) you are reviewing, we will ask you to share your approval in writing and permit us to move forward with adhering your composition in place. After this permission is given, no further changes can be requested because the flowers will be stuck in place. At the end of the review meeting, we will book a pick-up appointment.
If, for whatever reason, a client needs to have more than one round of feedback and edits (this is included in the initial purchase of the frame), the client is welcome to purchase subsequent feedback meetings. Clients can book these meetings on our appointments page.
Artist Process
Step 4: Virtual Project Review
During the virtual project review, we will have your work ready for you to consider. We will take notes during this meeting, and all requests, changes and ideas will be put into writing for you to give your written approval.
Once you share your written approval of what we have made, we will do everything we can to put these requests into action and then finalize the frame to get it ready for the finished product pick-up appointment. Some orders may still require more time to put these changes into effect, and it is not out of the question for some orders to take up to 6 months to perfect and finalize.

Step 5: Finished Product Pick-Up Appointment
This is the last step! Please come to our studio at 218 Fifth Ave, Ottawa, Ontario to collect your finished order :) It is best if you can drive or Uber to collect your order, unless your order is small and you live nearby. It is also best if you can take your order straight home as opposed to letting it sit in your car (especially in hot months!)

Step 5: Finished Product Pick-Up Appointment
During this final meeting, we will review all of the requested items and details to make sure everything is exactly the way the client wanted. Then we will review your aftercare information to make sure you have the right advice to ensure the safekeeping of these precious artworks so you can enjoy them for years to come.

FAQ: Do flowers need to be fresh? Can I work with dried flowers?
I can work with flowers that are 12 hours old or flowers that are 65 years old. (Ask me about the time I worked with a 65 year old flowers!)
The only benefit of having fresh flowers is that we have more options of what I can make with the flowers. If the flowers are very old, I may be restricted in what I can make. For instance, it is unlikely that I could make a pressed frame with very delicate old flowers, as they may crumble… but I could make you a shadow box.
If you have flowers, I can preserve them for you.
